Australian Coaching Academy (ACA) Zoom Policy Privacy and Confidentiality

1. Purpose: The Australian Coaching Academy (ACA) is committed to ensuring the privacy and confidentiality of all participants during online sessions conducted via Zoom. This policy outlines the guidelines for secure and respectful use of Zoom to protect personal and sensitive information.

2. Scope: This policy applies to all ACA staff, coaches, students, and participants engaging in Zoom sessions for training, coaching, and other official purposes.

3. Confidentiality and Privacy Guidelines
. All Zoom sessions should be conducted in a private and secure environment to prevent unauthorized access.
. Participants must not share meeting links, passwords, or access codes with unauthorized individuals.
. Recording of Zoom sessions is strictly prohibited unless prior written consent is obtained from all participants and authorized by ACA management.
. Participants must ensure their surroundings are free from unauthorized individuals who might overhear or view confidential information.

ACA will take reasonable steps to protect participants' personal data, including using password-protected meetings and enabling security features such as waiting rooms and end-to-end encryption.

4. Code of Conduct During Zoom Sessions
. Participants must behave professionally and respectfully towards all attendees.
. Use of offensive language, disruptive behavior, or sharing inappropriate content will not be tolerated.
. Participants should mute their microphones when not speaking to minimize background noise and maintain focus.
. Cameras should be on during coaching or training sessions unless otherwise agreed upon due to personal circumstances.

5. Data Protection and Storage
ACA will not store Zoom recordings or chat logs unless necessary for training or compliance purposes and only with explicit consent.
Any recorded sessions approved for storage will be securely kept for a limited period and accessed only by authorized personnel.
Personal information shared during sessions must not be used or disclosed outside of ACA’s intended educational and coaching purposes.

6. Breach of Policy
Any breach of this policy, including unauthorized recording or sharing of confidential information, may result in disciplinary action, termination of access to ACA services, and potential legal consequences.

Participants who suspect a privacy breach must report it immediately to ACA management.
